The type of personal information we collect

We currently collect and process the following information:

  • Contact details (name, address, telephone number and email address) of our employees (and prospective employees), customers, suppliers and sub-contractors.
  • Bank details for our employees, suppliers and sub-contractors.
  • Personal data of our employees: date of birth, health and medical information relating to their work, DBS records relating to their work, national insurance and tax details, driving licence details, next of kin contact details, pension details.
  • CCTV Images of people entering our sites and names and motor vehicle registration numbers of visitors for security purposes.

How we get the personal information and why we have it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • As an employer, the Company needs to process information about its employees and sub-contractors for normal employment purposes. The information we hold and process will be used for management and administrative purposes only. We will use it to enable us to run the business and manage our relationship with employees and sub-contractors effectively, lawfully and appropriately.
  • We may process personal data for customers and suppliers to pursue our legitimate business activities. The nature of our legitimate interest is to ensure that the Company meets its legal and operational requirements to continue trading in an efficient and responsible manner.
  • Our website uses cookies. A cookie is a small file which is placed on your computer's hard drive with your implied consent. Cookies allow web applications to remember you and personalise your experience. The website can tailor its operations to your needs, likes and dislikes by gathering and remembering information about your preferences.
  • For potential employees we may receive information from people or organisations named in employment applications as referees or references. We may also receive personal data from recruitment agencies or recruitment websites / apps.
  • We may receive health and medical information about employees from doctors or other healthcare professionals which we have consulted in order to comply with our health and safety and occupational health obligations and to administer Company sick pay and pension schemes.
  • We may gather personal data from Company computer and telephone systems used by employees. We may also track the location and use of company vehicles driven by employees. We gather such information for the purposes of ensuring legitimate use of these assets and to prevent fraud.
  • We gather CCTV images at our sites for security purposes.

This use will occur during the employee recruitment process, whilst they are working for us and after they have left. This includes using information to enable us to comply with the employment contract, to comply with any legal requirements, pursue the legitimate interests of the Company and to protect our legal position in the event of legal proceedings.

We use traffic log cookies from Google Analytics to identify which pages are being used and is an essential part of monitoring and improving our electronic communications. This helps us analyse data about web page traffic and improve our website in order to tailor it to customer needs. We use this non-identifiable aggregated traffic information for statistical analysis purposes. We also use conversion tracking to understand customer behaviour.

We may use cookies in Google AdWords for remarketing purposes. This means we remember your visit to our website to provide you with advertising of our products on the Google Display Network.

If we embed YouTube videos in our website, watching the video may set a cookie on your computer.

We may also use embedded applications from third party social media platforms, such as X (Twitter) or Facebook. These third parties may set cookies to remember your preferences.

We will not share personal data with third parties unless we are legally required to do so or where we need to do so in order to comply with our contractual duties for you. This may include:

  • Passing data to government departments such as HMRC and DSS where we are legally obliged to do so for the purpose of administering tax and national insurance.
  • Passing data to an external payroll provider in order to process salary payments.
  • Passing data to our external HR advisors in order obtain relevant advice from them in dealing with specific employment matters.
  • Passing data to our external pension providers for the purpose of administering the Company pension scheme.
  • Passing data to our insurers where required by them to provide quotations for insurance cover or to process claims under our policies with them.

  • We have a contractual obligation.
  • We have a legal obligation.

How we store your personal information

Your information is stored securely using either hard-copy (paper) records kept in a locked filing system at our head office or electronic records which are password protected, backed up and secured against intruders.

We keep personal data relating to employees for a period of 6 years after their employment has ended unless the Company is legally obliged to keep it for longer.

We keep personal data relating to job applicants who are not subsequently employed for 1 year after the date of application.

We keep personal data relating to customers and suppliers for the duration of our relationship with them and for a period of 6 years afterwards.

We keep CCTV images for 3 months. Images relating to specific incidents may be kept for longer if required to investigate theft or fraud.

We will dispose of paper records by secure shredding and electronic records by deletion from our computer systems.

Your data protection rights

Under data protection law, you have rights including:

  • Your right of access - You have the right to ask us for copies of your personal information.
  • Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
